Minutes of CDXC 2024 AGM
Held at 11:00 BST on 20th July 2024 at The Littlebury Hotel, Bicester, OX26 6DR

1. Welcome.
Chairman Chris, G3SVL welcomed everyone to the new venue. He declared the meeting quorate and outlined the process to be followed as per the Constitution.

2. Minutes of 2023 AGM
The minutes of the AGM held on 13th May 2023 were accepted unanimously as a true record by those members present. (On-line voting: For = 168; Against = 0; Abstentions = 12).
There were no matters arising.
3. Chairman’s Report, Chris Duckling G3SVL.
Chris started by reflecting on his previous year’s report. A lot has changed in the past 12 months as the Covid years fade to memory, DXpeditions are back to, if not above, normal levels and sunspots are producing propagation we haven’t seen for a long while. All of this is good news for those of us who enjoy chasing DX and contesting.
The Reflector continues to be a vibrant source of information and the Skype chat and DX channels are invaluable when the DX is on. Our Facebook page would, however, benefit from more posts and pictures.
The Chairman said that this has been a difficult year for the Committee. Sadly, Peter, G3RZP and Derek, G4XEE had to stand down due to ill health. We are sorry to lose two dedicated people and we wish them well; they left big holes in our capacity to operate. Lee, 2E0LMA stepped up to assist Derek with the CDXC Challenge adjudications and has now taken it over completely. Lee has also taken on some of the event management. Pete, G4RRM has picked up some of our promotional activities. At last we have a new CDXC badge supplier thanks to Pete’s efforts.
Chris reported that Peter’s sudden hospitalisation last year meant he has taken on the task of editing the last three Digest editions. Paul, EI5DI and Tex, G1TEX have come to his rescue to sort pictures and layout production respectively which makes the task more bearable
The Chairman thanked the Committee for their dedication and hard work – especially Chris, G4FZN who has picked up the membership secretary tasks from Tony, G4LDL with a very steep learning curve.
4. Membership Secretary’s Report, Chris Kirby, G4FZN
Membership numbers remained fairly stable throughout the period 31st March 2023 to 31st March 2024. At the end of this period, membership was as follows (comparative 2023 figures in brackets): Total = 711 (727) of which Overseas = 138 (149); UK = 565 (570) and other = 8 (8). Overall there was a net reduction in membership of in the year which was made up of 47 members allowing their membership to lapse, a further 13 becoming SK offset by the club welcoming 44 new or re-joining former members.
The club’s presence at Norbreck, and Newbury radio rallies, along with the tables at the RSGB convention and Friedrichshafen has maintained visibility of the Club and has contributed to the recruitment of new members. Other people were given information about the Club, and subsequently visited the web site and joined. Chris put on record his sincere thanks to all those members who gave some of their time on the Club stand. Our presence at rallies etc. is not just for recruitment purposes – the volunteers also take the opportunity to promote the profile of the Club, to promote DXing and to raise interest in forthcoming DXpeditions.

Presented below are the audited accounts and brief comments on the financial highlights of the year ending 31st March 2024. The accounts have been approved by the Committee and audited by the Club Auditor, Owen Williams, G0PHY.

The accounts for the year show a deficit of £2,775. This is primarily due to a considerable increase in DXpedition sponsorship as well increases in the cost of the CDXC Convention and printing and distribution of the Digest. The main highlights in income and expenditure over the previous year are as follows:
Income:
Overall, income is slightly lower than the previous year, primarily due to reduced income from the CDXC Convention. However, subscription income has increased slightly as has interest on investments.
Expenditure:
The main increase in expenditure has been DXpedition sponsorship, up 61% on the previous year. Our administrative system, CMIS, has seen in an increase in cost as has the printing and distribution of the Digest. The cost of hospitality for speakers at the CDXC Convention increased the overall cost of the event compared to the previous year. In addition, CDXC made a contribution of £150 to DX World, sponsored WRTC 2026 and several DXpeditions, as follows:
Balance Sheet items:
CDXC negotiated a two-year discount on the cost of the administrative system, CMIS, with £1,591 being the amount pre-paid for the following financial year.
Current liabilities include:
1. The reserve for subscriptions paid in advance;
2. DXpedition sponsorship, which is charged in the accounts for the year in which sponsorship is pledged. Pledges which remain unpaid at the end of the financial year are recognised by provisions carried forward;
3. Other Creditors at 31st March 2024 are:
a. A £670 donation to CDXC in 2014/15. This will be utilised from time to time to satisfy DXpedition sponsorship requests which match special conditions stipulated by the donor which relate to the upload of logs to LotW and other QSO confirmation criteria; and
b. £500 allocated for the provision of trophies.
Accumulated Net Current Assets carried forward of £18,915 indicate a continuing healthy position and a continued sufficiency of working capital to meet the day-to-day needs of CDXC.
Subscriptions
Given CDXC’s overall financial position, subscriptions will continue at current levels for 2023/2024. These are: for UK members – £18; for Overseas members taking the eDigest only – £18; and for Overseas members taking a paper Digest – £24.
Note: CDXC does not capitalise assets held such as loan equipment but writes them off when incurred. Therefore, there is no need for Fixed Assets or Annual Depreciation to be recognised in the Accounts.
Members present voted unanimously to accept the 2023/4 accounts, (online voting: For = 176; Against = 0; Abstentions = 4)
6. Proposal for 2024/2025 Committee
The 2023/24 Committee stood down and Don, G3BJ took the chair.
Members present voted unanimously to elect the 2024/2025 Committee as below (online voting: For = 162; Against = 0; Abstentions = 0).

Chris, G3SVL retook the chair and thanked members for their continuing confidence in the Committee.
7. Approval of auditor
Owen Williams, G0PHY has agreed to audit the accounts for the coming year and this was unanimously approved by those present. (online voting: For = 176; Against = 0; Abstentions = 4)
There being no other business, the Chairman thanked those present and all those who voted online and formally closed the meeting at 12:33
8. Post-AGM
Trophy and salver winners from the Club’s three challenges were celebrated and a general discussion of DX matters and challenges were discussed.
