Minutes of the CDXC 2025 AGM

1. Welcome.
Chairman Chris, G3SVL welcomed everyone to the AGM. He declared the meeting quorate and outlined the process to be followed as per the Constitution.

2. Minutes of 2025 AGM
The minutes of the AGM held on 20th July 2024 were accepted as a true record by those who voted on line and those present.
There were no matters arising.
3. Chairman’s Report, Chris Duckling G3SVL.
Your CDXC Committee works diligently throughout the year to ensure the Club meets its core objectives of providing a community for DXers, encouraging new DXers, sponsoring DXpedition to rarer DXCCs and IOTAs, running membership DX Challenges and producing one of the best magazines for those interested in DXing. All of this is carried out by a team of seven volunteers.
This year we have made real progress in certain areas and had a curved ball thrown at us, which we also had to handle. I’d like to take the opportunity to expand on these.
The first success early on in the year was appointing Steve, G4JVG as the Digest editor. Steve has a significant background as an author and an editor and, as those who worked him from Bonaire as PJ4DX will attest, is a true DXer. Steve took over the task rapidly and has produced excellent Digests from the word go.
Our DXpedition sponsorship reached what we think is a record of 21 DXpeditions that have produced in excess of one million QSOs cumulatively and have lit up the bands for all of us. The CDXC logo and flag is seen on all of the major DXpeditions now.
The LF, HF and Marathon DX Challenges produced strong competition for trophies and salvers and I’d like to recognise Lee, 2E0LMA’s contribution as awards adjudicator and Andre, G8GNI’s contribution as trophy manager. We will celebrate the award winners’ achievements right after the AGM concludes.
I mentioned at last year’s AGM our intention to move away from the membership management and website provider we have used since 2009. Whilst it does everything we want, its cost has increased over the last few years to a level that does not offer value for money. A small working group was set up of G4IRN, M1SMH, G4FZN, G8GNI, G8HQW and myself. Rather than just replicate what we had we produced a requirements document with the input from those at GMDX and FOC who had trodden a similar path last year. With Stuart, M1SMH’s expertise we set up a WordPress account and have designed a new website. We have purchased software for the membership functions and are in the process of setting up and testing those functions. We will transfer to the new system in mid to late August this year. We envisage this will save the Club more that £1,000 per annum – money better spent supporting DXpeditions. Our treasurer is delighted!
And the curved ball I mentioned? Our DX Chat and DX Spots platform has run under Skype since its inception, but at the end of February Microsoft gave two months end of life notification. Again a requirements document was produced and Chris, G4FZN with help from Pauline, G8HQW evaluated 11 different options. The chosen solution of ‘Slack’ was seamlessly introduced after a short testing process and is preferred by the majority of users.
The presentations from the Membership Secretary and the Treasurer will fill in more details of the year but I’d like to thank the Committee for their time and dedication and our President Don, G3XTT for his advice and guidance throughout the year.
4. Membership Secretary’s Report, Chris Kirby, G4FZN
Club membership fell by just under 4% during the period 1st April 2024 to 31st March 2025. At the end of this period, membership numbers were as follows (comparative 2024 figures given in brackets): Total = 683 (711) Overseas = 133 (138) UK = 543 (565) Complimentary = 7 (8)
There was a net reduction in membership of 28 over the period. This was made up of 73 members allowing their membership to lapse. 10 members advised me in June they were not renewing, and a further 63 lapsed automatically in September 2024. 8 became SK (see below), during the year. The club welcomed 53 new or re-joining former members during the reporting period.
It is unfortunate that we see over 10% of the membership lapse each year; however this still represents an average membership period of almost 10 years. The visibility of the club through its attendance at local and national radio rallies, the web site, and on social media helps to maintain a steady flow of new members. Word of mouth and recommendations from existing members should be encouraged too. The committee’s thanks go to all those who assisted on club stands during the year.

5. Treasurer’s Report, Accounts & Audit Certificate, Andrew Thomas, G8GNI – Hon Treasurer
Presented below are the audited accounts and brief comments on the financial highlights of the year ending 31st March 2025. The accounts have been approved by the Committee and audited by the Club Auditor, Owen Williams, G0PHY.
The accounts for the year show a deficit of £2,606. The main highlights in income and expenditure are shown below
Income
Our income has shown an increase over the previous year partly because of an increase in bank interest and partly because we were able to release the ring-fenced donation of £670. We would like to thank our advertisers – BHI, Martin Lynch and Sons, Nevada and Yaesu – for their continued support.
Expenditure
There have been a number of increases in expenditure, notably DXpedition sponsorship, marketing costs (fees for attending the Friedrichshafen and National Hamfests, plus the purchase of new CDXC flags), the initial costs of setting up CDXC’s new membership system and the accounts now show the PayPal fees incurred (previously subscriptions were shown net of fees; they are now shown gross). In addition, CDXC made a contribution of £150 to DX World and sponsored a number of DXpediitons, as follows:

Balance Sheet Items
Current liabilities include:
- The reserve for subscriptions paid in advance (£3,225);
- DXpedition sponsorship (£1,950), which is charged in the accounts for the year in which sponsorship is pledged. Pledges which remain unpaid at the end of the financial year are recognised by provisions carried forward; and
- £500 allocated for the provision of trophies.
Accumulated Net Current Assets carried forward of £16,309 indicate a continuing healthy position and a continued sufficiency of working capital to meet the day-to-day needs of CDXC.
Subscriptions
Given CDXC’s overall financial position, subscriptions will continue at current levels for 2023/2024. These are: for UK members – £18; for Overseas members taking the eDigest only – £18; and for Overseas members taking a paper Digest – £24.

Chris, G3SVL retook the chair and thanked members for their continuing confidence in the Committee.
7. Approval of auditor
Owen Williams, G0PHY has agreed to audit the accounts for the coming year and this was approved by those voting online and those in attendance.
There being no other business, the Chairman thanked those present and all those who voted online and formally closed the meeting at 11:35
8. Post-AGM
Trophy and salver winners from the Club’s three challenges were announced and celebrated. Those present discussed a range of topics, the most discussed being the impact of FT8 on DXpeditions and CDXC’s position on funding those DXpeditions which were >50% FT8. Those present felt that FT8 QSOs were in many cases additional to the QSOs a DXpedition would normally make and that many newcomers to the hobby would be using these modes. It was agreed that fully automated QSOs should be strongly discouraged. The Committee thanked those present for their input and guidance.
